AMINISTRATIVE ASSISTANT - FINANCE

Description:
This position presents an opportunity to participate in a growth oriented organization and to gain exposure and understanding of the energy industry. This role is ideally suited to a highly knowledgeable Administrative Assistant seeking a challenging opportunity. Reporting to CFO – US Operations, the Administrative Assistant will provide support to Finance and Accounting group.
In addition to the usual administrative tasks to be performed as per established priorities and deadlines, the incumbent will participate in a broad range of activities in the course of his/her duties, including:
Main Areas of Responsibility:
- Prepare, review, assemble and send financial packages to Lenders;
- Prepare and maintains Lenders information database;
- Prepare and transmit wires transfers;
- Prepare layouts for PowerPoint presentations and conduct final review;
- Organize meetings, conference calls and business trips;
- Prepare expense reports and participate in the budget process;
- Support various finance groups simultaneously ( ie. Controller’s group, Financial Reporting group)
- Screen and follow-up on messages/e-mails, manage Outlook calendars, review correspondence and make appropriate follow-ups;
- Prepare financial reports as needed (using pivot tables, charts, etc.);
- Maintain document management system;
- Propose procedure and administrative system improvements;
- Provide assistance to the Administrative Support team and reception.
Candidate profile – Requirements:
- Minimum 5 years of experience providing administrative support to a multidisciplinary team in a demanding environment;
- Great ease in working with Microsoft tools, with advanced knowledge of Excel, PowerPoint and Word (mail merge, etc.). Pivot table experience is a plus!
- Experience with managing various department e-mails is required;
- Excellent oral and verbal communication skills;
- Organizational ability, professionalism, resourcefulness and initiative;
- Ability to manage several priorities and to work with tight deadlines;
- Ability to deal comfortably with a fast-moving environment and flexibility in adapting to change;
- Associate degree in office administration or business administration would be an asset!
